No application or DNS switch can guarantee “high deliverability.” A sustainable program governs authentication, list provenance, sending cadence, message expectations, bounces and complaints, domain reputation, and monitoring. This guide covers operating discipline rather than repeating mailbox setup.

Inventory every sending source

List Shopify notifications, Shopify Messaging, Klaviyo or another ESP, support software, review tools, loyalty systems, and employee mail. Record each source's purpose, From domain, Return-Path, DKIM selector, expected volume, data owner, and retirement procedure. SPF, DKIM, and DMARC cannot be governed accurately when legitimate senders are unknown.

List quality comes before sending tactics

Ramp new or changed sending deliberately

A new sending domain, a program returning after a long pause, or a sudden volume increase needs a stable history. Begin with recently and clearly engaged recipients, compare results by mailbox provider, and expand only when signals remain healthy. “Warming” is not permission to send repetitive messages to smaller batches; relevance and complaints still determine reputation.

The offer behind the email must also be true. Discount conditions, eligible markets, stock, delivery, and unsubscribe controls should match the landing page. Email is not a standalone GEO asset, but consistent brand names, policies, product facts, and accessible pages reduce entity conflict.

Design incident response before an incident

When bounces or complaints change unexpectedly, pause the related traffic and segment by source, template, domain, and mailbox provider. Do not keep sending merely to collect more data. Preserve DNS changes, template versions, and delivery logs. Resume with a known healthy audience and verify that automation does not re-add suppressed or unsubscribed contacts.

Use a weekly operating report

Segment sent, accepted, delayed, hard-bounced, soft-bounced, complained, unsubscribed, and downstream business outcomes by message type, domain, market, and mailbox provider. Document the source and time window for every metric. An apparently strong campaign might simply target the most engaged audience, while a one-week decline can reflect seasonality or audience mix rather than DNS failure.

Audit triggers, frequency controls, and suppression lists regularly, particularly after changing ESPs, importing historic contacts, or consolidating stores. Seed mailboxes help observe delivery but do not replace real audience and provider evidence.

No. Privacy features and image loading distort opens. Combine transport, complaint, click, authentication, and provider-level evidence.

Should marketing use a dedicated subdomain?

Should DMARC start at reject?
