Begin Shopify inventory synchronization by deciding which system calculates sellable stock, then map variants to inventory locations. Faster polling cannot repair incorrect SKU mappings, two systems overwriting the same quantity, or incoming goods being treated as stock ready to sell.
Separate physical stock from sellable availability
Shopify distinguishes On hand, Available, Committed, Unavailable and Incoming inventory. The official inventory-state definitions explain that incoming, committed or unavailable units are not automatically available to sell. Match warehouse fields to those meanings before connecting them.
For each variant, record the Shopify variant or inventory object, external SKU, location identifier, unit and availability rule. Matching names do not establish identical goods: bundles, components, sizes and packaging units need checking. Trace one product at one location before extending the mapping to other warehouses.
Assign write ownership and read access
| Situation | Rule to establish | Typical conflict |
|---|---|---|
| Warehouse is authoritative | Which locations receive warehouse availability? | A staff edit is overwritten by the next synchronization |
| Shopify is authoritative | How do other channels read and consume quantities? | Independent channel stock leads to duplicated availability |
| Physical stock count | Are automatic writes paused during counting? | New counts collide with old queued updates |
| Returned goods | Who confirms receipt and sellable condition? | A refund increases stock before goods return |
For several channels, use “Shopify multichannel selling: product and order responsibilities” to establish how quantities serve each destination. If an existing inventory system can own the data, repair its mappings and write rules before creating another stock master.
Message acceptance is not proof of consistency
Log the object, location, source version or time, outcome and error for each update. Shopify webhooks can arrive more than once; use idempotent processing as described in delivery verification. Add reconciliation because delivery and handling can fail; the webhook behavior documentation recommends that redundancy.
Before retrying, distinguish permission, mapping, rate-limit and data-version problems. A late old update should not replace a newer count. Compare equivalent dates and states during reconciliation and surface differences for inspection rather than indiscriminately rewriting every quantity.
Rehearse failures with controlled stock
- Near-simultaneous orders on two channels do not consume the same availability twice.
- Duplicate messages do not repeat a stock increase or deduction.
- A warehouse reconnect follows the agreed rule for old queued updates and current counts.
- Refunds without returned goods, damaged returns and partial returns produce the intended availability.
- Manual corrections leave a record stating whether subsequent automatic updates may replace them.
Where an event uses the same stock, continue with “Shopify pop-up stock and payment preparation” to account for goods allocated, sold and returned to the warehouse.
FAQ
Is a shorter synchronization interval the solution to slow updates?
Check mappings, write ownership and state definitions first. Address queues and intervals once the data relationship is correct and measured delay affects transactions.
Should a refund immediately restore sellable inventory?
Follow the actual receipt and inspection process. A refund, physical return and restoration of availability are distinct events.
How can reconnection be accepted as complete?
After processing the queue, reconcile current objects and locations, explain differences, and confirm that old updates cannot later overwrite newer values.
